TITLE: Lay (Non-Canonical) Local Coordinator ~ Nazareth Court and Center
RESPONSIBLE TO: CSA Member Local Coordinator
STATEMENT OF ROLE:
The lay local coordinator for the sister residents of Nazareth Court and Center and St. Francis Home shares all but the canonical responsibilities of the local coordinator role with the CSA member appointed as Local Coordinator by the General Superior.
The lay local coordinator assists with providing the support of a loving community and lovingly administered health care for our elderly, ill, and infirm sisters. We recognize the value of their redemptive suffering and intercessory prayer, which give life to the apostolic works of the congregation and the church. (CSA Constitutions #47)
In her servant role, “she calls each sister to live out the implications of her commitment, unifies the efforts of the sisters, and motivates them in their common inspiration and purpose.” (CSA Constitutions #138)
The lay local coordinator encourages sisters residing in the retirement center to use this time of infirmity or advanced age, to continue to witness “our fidelity to God and to the building of the kingdom through presence, prayer, suffering, and acts of service in keeping with their strength and gifts.” (CSA Constitutions #56)
QUALIFICATIONS:
- Willing to function within the guidelines of the Mission Statement of the Congregation of Sisters of St. Agnes and the policies and procedures of Nazareth Court/Center and St. Francis Home.
- Models a collaborative style of leadership (team member).
- Possesses the flexibility to assume a wide range of responsibilities.
- Manifests respect and a level of comfort with the elderly and infirm.
- Has ability to companion others through the end-of -life journey.
- Enjoys reasonable health and energy.
- Has adequate computer skills to do Word documents, Excel, emails, internet.
- Holds a valid driver’s license with an acceptable driving record.
RESPONSIBILITIES:
- Consistently engages in pastoral and social visits with each individual sister and with household groups as needed.
- Provides for the possibility and, to the extent they are able and willing, encourages the sisters to participate with CSA at large (e. g. Circle discussions, Zoom participation, Chapter-related or other CSA agenda items). Divides the sisters from each retirement facility so that each local coordinator shares pastoral responsibilities.
- Helps facilitate the recommendations of the Advisory Council as appropriate. A representative from each household and community group forms the Advisory Council.
- Promotes the sisters’ self-responsibility and life-giving community and delegates, as appropriate:
- Plans collaboratively with staff for community celebrations: jubilee, feast days, holidays, small group celebrations, etc.
- Plans house meetings in collaboration with the Advisory Council.
- Organizes dining room seating, menu needs etc. for sisters who need assistance.
5. Promotes the spiritual growth of the sister residents.
- Coordinates liturgical planning with a liturgy committee and prepares liturgy handouts.
- Provides for periodic reception of Sacraments: Reconciliation, Sacrament of the Sick.
- Coordinates for presiders, musicians, homilists and liturgical ministers.
- Prepares vigils for feast days and other special occasions.
- Appoints sacristans.
- Plans reflection days.
- Coordinates with Regional Coordinators to plan and provide an annual retreat.
6. Shares appropriate CSA representative responsibilities:
- Rotates with other appointed CSA representatives to be “on call” to serve the sisters 24/7.
- Participates in meetings related to health care issues of the sisters as needed, (e.g. Nursing meetings, Care Conferences, Hospice calls)
- Communicates with sister’s relatives and CSA leadership regarding significantchanges in a sister’s condition.
- Helps educate the sister resident about palliative care as needed.
- Maintains sisters’ files – funeral, burial, medical, DNR, incapacity, legal, personal, etc.
7. Addresses “end of life” concerns
- Encourages sisters to outline their funeral plans, wake service, and other special palliative care wishes.
- Schedules “journey partners” to be with sisters nearing death and directs the “journey partners” to compassionately be present according to the individual sister’s palliative care wishes, and to respond appropriately if needed.
- Notifies CSA leadership, family members, and other specified persons of a sister’s death.
- Collaboratively plans with family, CSA leadership, and St. Francis Home as well as Zacherl Funeral Home, organist, presider, homilist, cantor and florist for date and time of funeral services and burial.
- Plans the Mass of Christian Burial and wake service with the aid of any draft the sister has filed previously.
- Writes obituary in collaboration with the CSA General Secretary.
- Provides hospitality for family of origin as needed.
- Works in collaboration with the Chaplain/Spiritual Care Coordinator, and homilist.
- Works in collaboration with staff to appropriately dispose of the sister’s personal items.
- Sends the deceased sister’s personal file to the CSA General Secretary for the archives.
8. Addresses personal finance needs of sisters and refers to CSA General Treasurer or CSA Finance Office as directed and/or needed.
- Manages and distributes sisters’ allowances as needed.
- Manage bills, reimbursements, checks, credit cards, and cellphone usage of permanent residents and credit cards of NCC staff as needed.
- Purchases needed CSA electronics, supplies, and clothing, via staff usage of their CSA Business credit cards.
- Ensures that CSA vehicles are regularly maintained and serviced.
- Sends appropriate bills to CSA Finance Office for payment as directed by the CSA General Treasurer.
- Sends check requests to CSA Finance Office when payroll is due for Chapel payroll (presiders, musicians, ministers, and homilists).
- Collaborates with the CSA General Treasurer for NCC budgeting.
9. Attends appropriate CSA and staff meetings
- Meets on a regular basis with the USA Regional Coordinators to foster integration and inclusion of the NCC/SFH sisters in the larger CSA community.
- Communicates an update periodically with the General Superior.
- Arranges participation for Jubilee, CSA Days, Chapter, and other occasions as appropriate for the resident sisters, in collaboration with CSA leadership.
- Meets with SSM healthcare staff as needed.
- Works with staff to coordinate assistance provided by volunteers.

12. Participates in an annual evaluation with the CSA Member Local Coordinator and both Local Coordinators with the General Superior, individually and together
