Bookkeeper


Position:                         Bookkeeper

Reports to:                     President/CEO

FSLA Status:                     Exempt

Work schedule:                 Standard office hours (8am-5pm)

Travel expectation:           Minimal

Position summary:           The Bookkeeper is responsible for overseeing the daily financial operations of Envision Greater Fond du Lac, including managing accounts payable, receivable, bank reconciliations, and monthly close procedures. The Bookkeeper ensures accuracy, consistency, and adherence to best practices across all finance functions.

 


Position Scope:

The Bookkeeper supports internal accounting operations and works collaboratively with the Finance Department to maintain accurate and timely financial reporting. This position plays a critical role in the preparation of budgets, audit coordination, and fiscal compliance. The ideal candidate has strong analytical skills, attention to detail, and a solid understanding of nonprofit accounting principles and software systems, particularly QuickBooks Online.

Essential Duties, Responsibilities and Competencies: Specific duties include, but are not limited to:

Financial Management & Oversight 

  • Maintain accurate financial records in QuickBooks Online, including bank and credit card reconciliations.
  • Oversee accounts payable and receivable processes, ensuring proper coding, entry, and documentation.
  • Review and approve general ledger entries, recurring transactions, and adjustments.
  • Ensure all entries have been posted to allow preparation of monthly financial statements.
  • Receive and post payments to member database.
  • Annually invoice membership dues for Envision programs and members.
  • Monitor vendor aging reports for any past due amounts.
  • Record ACH payments to vendors along with any payments automatically deducted from the bank account.
  • Serve as the primary internal contact for the contracted Controller, supporting their review of monthly financial statements for the Board of Directors.
  • Ensure monthly close is completed accurately and on time.
  • Coordinate with department heads on annual budget planning and forecasting.
  • Maintain organized documentation for audits and serve as point of contact during annual financial audit.

Compliance & Internal Controls

  • Develop and enforce financial policies and procedures to ensure sound fiscal management.
  • Ensure timely remittance of sales tax, 1099 preparation, and annual membership billing oversight.
  • Reconcile and monitor restricted and designated funds, if applicable.
  • Ensure compliance with organizational, investor, and grant-specific financial requirements.

Leadership & Team Support

  • Provide backup support for front desk duties when needed.
  • Communicate effectively with leadership regarding financial performance, risk, and strategic funding considerations.
  • Contribute to strategic planning processes by offering financial insights and projections.

Education & Experience:

  • Bachelor’s degree in Accounting, Finance, or related field preferred
  • Minimum of 2-3 years progressive accounting experience; nonprofit experience strongly preferred
  • Proficiency in QuickBooks Online, Microsoft Excel, and CRM systems

Compensation and Benefits:

  • $44,000-$55,000 annual salary based on experience
